General
Who's behind this conference?
As almost all Python and PyData conferences this event is run and organised by volunteers contributing free time and supported by community sponsors contributing work time of their employees. Any conference profits will go back to the community and Open Source via the Python Softwareverband e. V. and NumFocus.
Conference platform
We have our own Discord server where you can meet other attendees, the speakers and the orga team and take part in other interactive activities. We will also send updates via Discord during the day. Discord is available for desktop (app or browser) and mobile devices.
If you have a Discord account: log in, otherwise create an account.

While registering the discord bot will change your nickname to the name you registered your ticket with. Please keep that name or change it manually if the discord bot fails to change your name so that other participants can know who you are.
Once you have joined the server look for the registration channel. Please have your booking reference ready, it looks like 'CLST-1” - see below in your attached ticket.
The registration bot will onboard you and give you access to the conference channels! To start the process go to the #registration channel and follow the instructions.

What's the conference language?
The conference is all in English.
Program
Since 2019 the conferences PyCon.DE and PyData Berlin joined together. We are looking into a ca. 50/50 distribution of the sessions.
How will the program look like?
A list of accepted talks will be released 2024-02-08. The full schedule will be published 2024-03-04.
What about tutorials?
There will be 90-minute tutorials. The attendance is included in the ticket but seats are limited.
Lightning Talks
A lightning talk (LT) is a short presentation of maximum five minutes. To sign up for a lightning talk please put your name and topic on the whiteboard next to the registration desk. Signing up is first-come-first-serve basis. The queue is reset every day in the morning. You may talk about / present about (almost) everything except: no promotion for products or companies, no call for 'we are hiring' (but you may name your employer). Conference announcements are limited to one minute only. One LT per day per speaker only. Any speaker not having given a LT at the conference is ahead of anyone who has given a LT already.

How can I speak at the conference?
The CfP is open until 7th January 2024 22nd December 2023 23:59:59 CET. Submit your proposal here.
Is there a support program for speakers?
Speakers will receive one free ticket.
Please see the milestones when to expect to receive the ticket.
We do not have any additional support program for speakers. Please apply to the Financial Aid Program if you need support for travel and accommodation.
Speaking at the Conference
Presenting at the conference.
We do encourage everyone to use gender neutral language at the conference. Please make sure to bring a HDMI adapter with you. We will update this section with venue specific information.
Presenting remotely?
The conference is organized as an in-person event, with speakers presenting live on-site. The option for remote presentations is subject to the approval of the Program Committee.
Are speakers invited to the conference?
Accepted speakers will be provided a complimentary ticket for all the conference - limited to one per submission
accepted in total and limited to one per individual.
Please see the milestones when to expect to receive the complimentary ticket.
We do not cover any travel or accommodation costs.
In case of multiple speakers other presenters need to purchase a ticket please.
What if I have purchased a ticket and get a free speaker ticket later?
We will happily refund your ticket until 2024-04-04.
I have updated some information - but it does not reflect on the website.
We use a static website. All information is coming from Pretalx. The website updates regularly. Please be patient. The same applies for the speaker list on Twitter. Please do not write to help desk to request information changes, it's self-service, thank you.
What about internet during my talk?
There will be no guaranteed internet for the talks, try to avoid making your presentation depend on internet connections. Use internet at your own risk. Though we try our best briefing the providers - conference WiFi performance might not meet everyone's expectations.
Other Options to Present About a Topic
Lightning Talks
A lightning talk (LT) is a short presentation which must not be longer than five minutes. You may talk about / present (almost) everything with certain boundaries:
- no promotion for products of companies, no call for 'we are hiring' (but you may name your employer).
- conference announcements are limited to one minute only
- one LT per person per conference policy: everyone who has not given a LT at this year's conference, yet, is ahead of you in the queue
- keep it short, the shorter the presentations, the more people can give a lightning talk

Regular price for the first 800 tickets sold, once these are sold out, we switch to Late Bird pricing.
What about food & drinks during the conference?
The conference ticket includes a light lunch buffet, coffee breaks and light refreshments all day. We settled for a vegetarian and vegan food menu.
What is the right ticket to buy?
Companies and freelancers must buy company tickets. No exceptions.
It is part of our philosophy to make the conference accessible to all.
Therefore, we offer some tickets at a lower price for hobbyists, - to support science - researchers and students.
Reduced tickets are available only for:
- students
- post-docs
- academic researchers
- hobbyists
- enthusiasts
- people just learning the language.
Since we often receive questions, we explicitly do not offer reduced tickets for:
- start-ups
- public sector
- private research institutes or R&D departments of companies.
Ticket prices include VAT
All ticket prices include 19% VAT.
Conferences are taxable in the country where the conference takes place, so the EU VAT reverse charging mechanism cannot** be applied.
However, companies can easily apply for a VAT refund from the authorities.
Order limits
To give everyone a fair chance to place orders. With one order one may purchase the maximum number of 4 Business, 2 Individual, 2 Student Tickets (in-person only, no limits for online). In case you require some more tickets, please place another order.
What about tickets for students?
Students must present a valid student ID at the conference. If you are a student or will be a student while the conference is running you are eligible for one student ticket. In case you are a student now but won't be a student at the time of the conference we cannot offer you a student ticket.
I'm on a budget and cannot afford a ticket.
Please have a look at our financial aid and scholarship program. The program is open until 16 January. Please check back our Financial Aid Program page for more details.
Is it possible to purchase Individual Tickets as a company?
No. Reduced "Individual Tickets" are for individuals only. Individual Tickets purchased by a company will be cancelled.
I'm working with Python, but I do NOT get reimbursed by my employer.
It's ok to buy an individual ticket.
Is it possible to purchase Student Tickets as a company?
Yes, a valid student-ID must be presented at the conference.
I'm an academic researcher, which one is the right ticket for me?
As an academic researcher affiliated with a public academic institution, such as public universities or Max Planck and Helmholtz Institutes, you are eligible to purchase an Individual Ticket. However, this option is not available to those working in private institutes, research companies, or the public sector. Additionally, it's important to be aware that Individual tickets, due to logistical reasons, won't display your affiliation on your badge. If having your affiliation shown is important to you, you should consider purchasing a business ticket instead.
Can I pay ticket by invoice?
No, purchase is avalibale via the website only (credit card required).
The credit card is not working, are there alternative payment methods?
No, we unfortunately cannot offer alternative payment methods. We use Stripe for processing all credit card payments. Stripe is a well established payment provider.
In the unlikely case your credit card is not working, don't worry - please try again. Often it works the second or third time for reasons only your bank will know.
In case it's not working please do contact your bank.
If you do not have a credit card, consider asking a friend with a credit card to help you out.
Where can I find the invoice?
Once the purchase is finished you will receive two emails from Tito, one contains the link to your invoice, you can add/edit the invoicing address as well.
The invoicing address may be relevant for your employer to claim VAT. We do advise filling in the right invoicing address (e.g. of your employer) within two weeks after purchase. We are not able to change any invoices afterward.
Can I order tickets via purchase orders?
No, tickets are sold exclusively via the website. If you like to see more service consider sponsoring the conference.
I sent you a purchase order but never got an answer.
Sorry to hear, but we do not accept purchase orders for tickets, please buy via the website.
Do you offer discounts for purchasing multiple tickets at once?
Yes, we do offer tickets packages of 5, 10 or 20 tickets. The packages include a Silver Sponsoring. Please contact sponsoring.
Reselling Tickets
Tickets are personalized. Re-selling tickets is prohibited. It's ok to order tickets for a friend of subsidary with reimbursement.
When are you going to start selling the tickets?

Are tickets refundable?
Tickets are fully refundable until beginning of April no questions asked.
I need to return my ticket
To refund your ticket simply reply to the email you received your ticket with.
You can also contact us via the contact form below, please make sure to include your full name and ticket number ( looking like TCK5-1).
The reimbursemnt is going be sent to the same credit card the ticket was purchased with originally.
How can I change information on my badge?
We will use the information you provide via Tito for the conference badges. To change information you may only do this via Tito (just follow the links in the emails with your ticket). This includes
- attendee's name
- company name
If you buy multiple tickets, please make sure the people you purchase the tickets for will enter all information timely. This includes
- dietary restrictions
- agreement to Code of Conduct
- other questions asked during the process
Conference badges will be printed upfront, please make sure all information is in place by April 1st. Any changes after this date won't reflect on the badges.
Do you offer any day-tickets to the public?
No.
Do you sell tickets at the conference?
No.
Are badges transferable?
No, badges are valid for the person the ticket was assigned to only. Tickets have to be assigned by March 31. No changes after this date.
Conference T-Shirt - On-Site Only
Once you have been assigned your on-site ticket let us know via the questionnaire - see here, if you would like a t-shirt to commemorate the conference. We will only produce pre-ordered t-shirts to minimise waste. No answer to this question = no t-shirt.
Deadline for answering/choosing your size is 2024-03-31. For orders placed after 2024-03-31 we cannot offer complimentary T-Shirts.
Sponsoring
Do you have extra discounted tickets for sponsors?
Yes, please contact sponsoring.
Are sponsors free to set up their own sponsoring booth?
Yes, but it must fit the space mentioned on the invoice.
How many tickets are in the sponsoring packages included and how many employees are allowed to come for the sponsoring table - additionally?
We don’t offer additional free tickets for employees at the sponsoring table. You can assign the tickets included in your sponsoring package however they best fit your needs to staff at the booth or employeeds attending the conference.
Sponsoring package prices VAT
All sponsoring package prices are net plus statutory VAT in the amount valid at the time. VAT for sponsoring is subject to the EU reverse charge system, please provide your VAT number.
>Visa
Visa - I need a visa to go to Germany. Could you please write me an invitation letter?
Yes.
Invitation letters require apart from your personal information also reasons why you would like to attend an event in Germany (e.g. student in the field or expert).
Please send us a visa request form (link below).
Make sure to include all the following information:
- full name
- address
- birthday
- passport number
- reason why you want to attend
Childcare
Is childcare provided?
Childcare is available for children between the ages of 1 - 10years from Monday 22nd of April through Wednesday 24th April from 9:00 am to 6:30pm (4:30pm on Wednesday). Pre-registration of each child is required and each reservation should be made on or before April 14th at the latest, please refer to this page for more details.
Breastfeeding Room
A private breastfeeding room will be available. Please contact the registration desk on site to gain access.
Health
We are aligned with the public recommendations and regulations. No separate official health regulations are currently announced or expected.
Our venue, the bcc is spacious and equipped with a special anti-viral air filtering system. We will provide hand sanitizers.
We welcome participants wearing masks, depending on personal preference.
Accessibility
Access to all event rooms is barrier-free.
All three levels can be reached with a lift equipped for disabled persons at an adapted height.
The bcc has three parking spaces on the adjacent grounds, which are also our disabled parking spaces with extra wide spaces.
There are two ramps for wheelchair users at the entrance to the bcc, so that the bcc can be entered barrier-free.
There are three toilets for disabled persons.

Bad Practices
Volunteers are not a 24/7 helpline. Volunteers give their free time to the community to organise this conference.
We consider it bad practice to contact volunteers in other ways, e.g. directly by email, X, LinkedIn or other social media,
or by phone.
